Supervisor Approval in Face-to-Face Sessions

Many healthcare organizations require that their learners receive permission to attend face-to-face sessions. This is in fact the norm in hospitals because supervisors must generally make sure that the missing learner's duties are covered by someone. It is now possible to enable supervisor approval for each face-to-face activity.

To enable supervisor approval:

  1. Add a face-to-face activity. Refer to the Managing Classroom Sessions documentation to learn more about how to add a face-to-face activity.

  2. Enable the "Approval required for signing up" checkbox in the face-to-face activity.

  3. Click on the save button at the bottom of the page.

Once enabled, when a learner enrolls in a specific face-to-face session, two emails will be sent:

  • The first email will be sent to the learner informing him/her that their request is pending their manager's approval.

  • The second email will be sent to the learner's supervisor informing him/her that one of their team members has requested to attend a face-to-face session. This second email will contain a link that takes the supervisor directly to a page where they can accept or decline the learner's request.

Once the supervisor approves the request, the learner will be immediately enrolled in the face-to-face session (assuming the maximum capacity has not yet been reached) and a second email will be sent to the learner to inform him/her that the request has been approved.
