The face-to-face activity allows you to notify learners, supervisors, and additional recipients for various events related to classroom sessions. While the default messages can be modified by a System Administrator as per the Modifying Language Strings article, an Instructor can also modify these notifications on a per face-to-face activity basis.

A notification that uses the default message is indicated by a "System default" badge next to it, while a notification that has already been customized by an instructor displays a "Custom" badge as per the screenshot below.

Step-by-step Guide

To customize a face-to-face notification:

  1. Go to the face-to-face activity in question

  2. In the Administration block, go to Facetoface administration > Settings

  3. Expand the "Notifications" section

  4. Click on the cogwheel icon next to the event in question

    1. If the badge next to the icon reads "System default"', the message uses the default message in the system. That default message can only be customized by a System Administrator. 

    2. If the badge next to the icon reads "Custom", the message has already been customized

  5. Enter the message you want to send for this particular event. You can use “placeholders” in your custom emails if you want to show for example the duration of the course, the date(s), etc. The following placeholders are available:

    • [firstname]

    • [lastname]

    • [coursefullname]

    • [facetofacename]

    • [duration]

    • [alldates]

    • [details]

    • [reminderperiod]

    • [session:customfieldname] where “customfieldname” is the unique name of the custom field. For example, to display the location, you would enter [session:location])

  6. Click on the "Save changes" button
