Once a learning record is stored in the LRS, it can never be altered or deleted. This requirement is in line with numerous specifications that Dual Code adheres to, including for example Title 21 CFR Part 1, a the section of the Code of Federal Regulations (CFR) that deals with Food and Drug Administration (FDA) guidelines on electronic records and electronic signatures in the United States and Canada. While administrators and instructors with special permissions can void learning records, these records can always be recovered by unvoiding them.
How are learning records different than certificates of completion or transcripts?
Learning records are digital proofs that someone completed an activity, course or program. Because they are digital, they can be forwarded to other learning environments powered by Dual Code as well as verified Dual Code partners such as Roche Diagnostics, CMaRS, and Epic System's EMR. But what if a third person who doesn't have access to the learning environment wants to see that proof? That's where certificates of completion and transcripts come in.
Certificate of completion and Transcripts (aka Statement of Marks) are PDF artifacts of such learning records. If a learner wants to show proof to someone else that they've completed a course and that someone else does not have access to the learning environment, the learner can print their Certificate of Completion on paper and physically present it to someone else. Along the same line, Transcripts represent that someone has completed a program in the learning environment.
