Sending Custom Notifications to Users for Specific Programs

Compliance (or mandatory) training must be assigned to learners through programs. This approach enables instructors and administrators to generate reports that track compliance metrics. It also allows the system to send notifications and reminders—not only to learners, but also to their supervisors or designated third parties—when courses are coming due, overdue, or when it’s time for recertification.

By default, the system sends email and in-platform notifications based on the user’s role:

  • Learners do not receive a notification upon being enrolled in a program.

  • Learners do receive notifications when courses are coming due or are overdue.

  • Supervisors receive a summary Compliance Report showing their team’s training status.

  • Additional recipients do not receive notifications by default.

Other articles provide details on how to enable or disable these notifications and configure their frequency. However, the system also allows for program-specific customization—letting you activate additional notifications or tailor their content for greater flexibility. The steps to enable these additional notifications are outlined below.

If you’re satisfied with the default system-level notifications, there’s no need to complete the steps below. The following instructions are only necessary if you wish to enable additional notifications beyond the system defaults.

Step-by-step Guide

To send custom / additional notifications to users specific to a program:

  1. Go to Site Administration > Programs

  2. Click on the "Edit" icon next to the program in question

  3. In the "Notifications" section, enable the notifications that you want to send

    1. The "Recipient" and "Event" that generates the notification is explained in the table next to teach notification.

  4. If you want to customize the subject line or body of the notifications, cick on the “Edit” icon next to the notification in question and enter your custom message.

    1. The list of tokens that can be used in the message are listed below the “Message” text area. You can simply click on a token to copy it to your clipboard, and then paste it in your custom message.

  5. If you are enabling the "Additional Recipients" notifications, make sure you select the additional recipient(s) from the dropdown menu immediately below the notifications. 

  6. To change the frequency of the notifications (other than the "User is registered in the program" notification, which is always sent when the user is registered in the program), expand the "Show more..." section near the bottom of the page

  7. Specify your preferred frequency, including when you would like to start / stop sending the notifications

  8. Click on the "Save changes" button at the bottom of the page

Important Notes

  • Reminder notifications only include courses that are coming due or overdue—they do not list completed courses. Therefore, if a user has completed all assigned courses, no reminder notification will be sent.

  • When sending reminder notifications to supervisors or additional recipients, they will get one (1) email per program per user. This means that they may receive a lot of emails. For this reason, we recommend instead to send Supervisors a monthly "Compliance Summary" instead.

  • The default reminder resembles the screenshot shown below. In this example, the user is required to complete a single course, and their first name is “Student.” Please note that the appearance of the email may vary slightly depending on the email application being used (e.g., Microsoft Outlook, Gmail).
